Volunteers

Volunteers are crucial to the success of this meeting and for ensuring that our participants have a great time!

We are currently looking for volunteers to fill a number of positions assisting with meeting activities including:

  • Registration
  • Silent Auction
  • Oral Presentations
  • Poster Room
  • Welcome Social
  • Workshops

You will have the opportunity to sign up as a volunteer during the registration process or you can contact our Volunteer Coordinator, Christi Hughes, directly at volunteer@serstm.org.

Please note that some positions may require specific computer skills sets so please indicate if you are proficient in programs such as Excel and Power Point.

SERSTM Volunteer Position Descriptions

All descriptions are general and are subject to change. You will receive more detailed instructions from the conference chairs when you arrive at your volunteer shift, and at the volunteer meeting on Tuesday, February 13th.

Registration Table (Materials Assembly)
-putting together bags, t-shirts, etc for registered meeting attendees

 Registration Table (Check-in)
-stationed at computer to check in registered participants, register new attendees, and hand out registration packets
-Volunteers must be highly tech savvy, as you will be assisting with registration and computer issues in these positions

**Registration volunteers MUST be familiar with Guidebook and must have app downloaded and profile created by Feb. 1st

Guidebook App Table
-assist meeting attendees with Guidebook App
-Volunteers must be highly tech savvy, as you will be assisting with app downloading, app use, and app problems in these positions

Silent Auction (Drop-off)
-accept auction items, create auction bid sheets, organize and monitor tables

 Silent Auction (Computer)
-accept auction items, create auction bid sheets, monitor auction tables
-processing auction sales (possible)

 Silent Auction (Auction Room)
-make sure things aren’t moved or taken (tampered with) in the auction room
-help people find and pick up their items

 Silent Auction (Runner)
-assist as needed in auction room (replenish auction forms, monitor the room to avoid potential tampering with items, etc.)

Silent Auction Pick Up
-help people find the items they won/purchased
-clean up and close down the auction room

Poster Room Set Up
-help poster authors hang their posters and find their assigned location within the poster room

Poster Room
-answer visitors’ questions and help direct them to certain posters they may be looking for
-assist poster authors as needed (potentially grab water or take pictures for them, etc.)

E/V Setup (Exhibit/Vendor) Setup
-assist exhibitors and vendors in finding their spot at the conference, help them set up tables/materials, hang signs, assist as needed

Social tickets/t-shirt sales
-stationed at a table to sell tickets to the social events for the conference and sell t-shirts, assist SERSTN table as needed
-check registrant badges for entry into social events

SERSTN Exhibit/Vendor Table
-stationed at the SERSTM vendor table, talking about sea turtle efforts in the Southeast, potentially hand out sea turtle posters, assist with social ticket and t-shirt sales as needed

Talk upload table
-stationed at computer to upload speaker presentations from their jump drive to a laptop and make sure that they work

Rehab Workshop
-assist speakers and workshop leaders, greet guests, turn room lights on/off, help find audio/visual maintenance people if needed

Careers Workshop
-assist speakers and workshop leaders, greet guests, turn room lights on/off, help find audio/visual maintenance people if needed

Public Workshop
-assist speakers and workshop leaders, greet guests, turn room lights on/off, help find audio/visual maintenance people if needed

Volunteer Workshop
-assist speakers and workshop leaders, greet guests, turn room lights on/off, help find audio/visual maintenance people if needed

Detection Dog Workshop
-assist speakers and workshop leaders, greet guests, turn room lights on/off, help find audio/visual maintenance people if needed

Political Advocacy Workshop
-assist speakers and workshop leaders, greet guests, turn room lights on/off, help find audio/visual maintenance people if needed

Oral Presentations
-assist speakers and workshop leaders, greet guests, turn room lights on/off, help find audio/visual maintenance people if needed
-potentially run a stop watch and hold up signs that indicate how much time a speaker has left

Microphone Runner for Oral Presentation Q&A
-provide microphone to audience members for Q&A sessions following oral presentations
