Volunteers

Volunteers are crucial to the success of this meeting and for ensuring that our participants have a great time! Becoming a volunteer is also a great way to network and meet new people.

We are currently looking for volunteers to fill a number of positions assisting with meeting activities including:

  • Registration
  • Silent Auction
  • Oral Presentations
  • Poster Room
  • Welcome Social
  • Workshops

Please note that some positions may require specific computer skill sets, so please indicate if you are proficient in programs such as Excel and PowerPoint.

You will have the opportunity to sign up as a volunteer during the registration process or you can contact our Volunteer Coordinators directly at volunteer@serstn.org.

 

SERSTM Volunteer Position Descriptions

All descriptions are general and are subject to change. You will receive more detailed instructions from the conference chairs when you arrive at your volunteer shift, and at the volunteer virtual meeting on Thursday, February 23rd from 4:00 – 5:00 PM Eastern.

Registration Table (Materials Assembly) – 4 people per day
-putting together bags, t-shirts, etc. and distributing to registered meeting attendees

 Registration Table (Check-in) –  4 people per day
-stationed at a computer to check in registered participants, register new attendees, and hand out registration packets
-Volunteers must be comfortable resolving computer issues and be familiar with the meeting app.

**Registration volunteers MUST have app downloaded and profile created by Feb. 23rd**

Technical Support Table – 4 people per day
-assist meeting attendees with app
-Volunteers must be familiar with the meeting app, as you will be assisting with app downloading, app use, and troubleshooting app problems in these positions

 **Tech Support volunteers MUST have app downloaded and profile created by Feb. 23rd**

Silent Auction (Drop-off) – 4 people per day
-accept auction items, create auction bid sheets, organize and monitor tables

Silent Auction (Computer) – 4 people per day
-accept auction items, create auction bid sheets, monitor auction tables
-processing auction sales (possible)

Silent Auction (Auction Room) – 4 people per day
-make sure things aren’t moved or taken (tampered with) in the auction room
-help people find and pick up their items

Silent Auction (Runner) – 4 people per day
-assist as needed in the auction room (replenish auction forms, monitor the room to avoid potential tampering with items, etc.)

Silent Auction Pick Up – 3 people per day
-help people find the items they won/purchased
-clean up and close down the auction room

Poster Room Set Up – 2 people per day
-help poster authors hang their posters and find their assigned location within the poster room

Poster Room – 1 person per day
-answer visitors’ questions and help direct them to certain posters they may be looking for
-assist poster authors as needed (potentially grab water or take pictures for them, etc.)

E/V (Exhibit/Vendor) Setup – 4 people per day
-assist exhibitors and vendors in finding their spot at the conference, help them set up tables/materials, hang signs, assist as needed

Social Tickets/T-shirt Sales – 4 people per day
-stationed at a table to sell tickets to the social events for the conference and sell t-shirts, assist SERSTN table as needed
-check registrant badges for entry into social events

SERSTN Exhibit/Vendor Table – 1 person per day
-stationed at the SERSTM vendor table, talking about sea turtle efforts in the Southeast, potentially hand out sea turtle posters, assist with social ticket and t-shirt sales as needed

Talk Upload Table – 4 people per day
-stationed at the computer to upload speaker presentations from their jump drive to a laptop and make sure that they work

Workshops (Specifics TBD) – 1-2 people per workshop
-assist speakers and workshop leaders, greet guests, turn room lights on/off, help find audio/visual maintenance people if needed

Oral Presentations – 4 people per day
-assist speakers and workshop leaders, greet guests, turn room lights on/off, help find audio/visual maintenance people if needed
-potentially run a stopwatch and hold up signs that indicate how much time a speaker has left

Microphone Runner for Oral Presentation Q&A  – 4 people per day
-provide a microphone to audience members for Q&A sessions following oral presentations
-disinfect microphone between users
